Terms of service
These terms are an agreement between you and [COMPANY NAME LTD] ("Showbooks", "we", "us"), a company registered in England and Wales (company number [NUMBER]), registered office [ADDRESS]. By creating an account or using Showbooks you agree to them. Please read them, especially section 5 on what Showbooks is not, and section 9 on our liability.
1. What Showbooks does
Showbooks is software that helps UK creatives keep records, sort transactions, estimate tax, prepare figures for a tax return, make invoices and plan a budget. It includes an AI assistant, Alicia, on some plans.
2. Your account
- You must be 18 or over and give accurate details.
- Keep your password safe. You are responsible for what happens under your account.
- Tell us straight away at hello@showbooksapp.com if you think someone else has used it.
3. Plans and payment
- The Free plan costs nothing. Starter, Pro and Ultimate are paid yearly in advance at the prices shown when you buy, including any VAT.
- Paid plans renew automatically each year. We will email you before each renewal with the price. You can turn off renewal at any time in Settings, and your plan runs until the end of the year you paid for.
- If we change prices, the new price applies from your next renewal and we will tell you at least 30 days before.
- 14-day guarantee: if you are not happy, ask for a full refund within 14 days of first buying a paid plan. This sits alongside your legal rights as a consumer.
- Moving up a plan takes effect straight away and you pay the difference for the rest of your year. Moving down takes effect at your next renewal.
- Payments are handled by Stripe.
4. Your content
- Everything you upload or enter stays yours. You give us permission to store and process it only to provide Showbooks to you, as set out in our privacy policy.
- Only upload information you have the right to use. Do not upload anything unlawful.
- Keep your own copies of important records. You can export your data from the app at any time.
5. What Showbooks is not
- Not regulated advice. Showbooks and Alicia give general information and estimates to help you plan. They are not a qualified accountant, tax adviser or financial adviser, and nothing in the app is regulated advice. For anything unusual, high in value or under HMRC enquiry, speak to a qualified professional.
- AI can be wrong. Alicia and AI sorting can make mistakes. Check suggestions before you approve them; changes only happen when you approve them.
- You file your own return. Showbooks does not submit anything to HMRC or Companies House and is not HMRC-recognised filing software. You, or your agent, are responsible for what is filed and for paying tax on time.
- Your figures depend on your records. Results are only as accurate as the information you give and the categories you confirm.
6. Fair use
Do not misuse Showbooks: no trying to break or overload it, reach other people's data, copy or resell the service, or use it for anything unlawful. AI features have monthly question limits shown on each plan.
7. Our content
The Showbooks name, logo, app, design and written content belong to us. You can use them only as part of using the service. Invoices and documents you create with Showbooks are yours.
8. Changes and availability
- We keep improving Showbooks and may add, change or remove features. If we remove something important from a paid plan during your year, you can cancel and get a refund for the unused part.
- We aim to keep Showbooks available at all times but cannot promise it will never be interrupted, for example during maintenance.
9. Our liability
- Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud, or your statutory rights as a consumer.
- We are not responsible for losses that were not foreseeable, or for business losses such as lost profit, lost work or lost opportunity.
- Because Showbooks is a planning tool and not regulated advice (section 5), we are not liable for tax, interest, penalties or other amounts you owe HMRC, except where they are caused by our own breach of these terms or our negligence.
- Otherwise, our total liability to you in any year is limited to the greater of £100 and the amount you paid us in the 12 months before the claim.
10. Ending your account
- You can close your account at any time in Settings. Download your records first: we delete them within 90 days, as explained in our privacy policy.
- We may suspend or close an account that seriously or repeatedly breaks these terms. Where we can, we will warn you first and give you time to download your records.
11. Changes to these terms
If we make an important change, we will tell you at least 30 days before it applies. If you do not agree, you can close your account, and we will refund the unused part of a paid plan.
12. Law and disputes
These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring a claim in your local courts. Please contact us first at hello@showbooksapp.com so we can try to sort things out.
